A fair use policy consists of various rules used by the administrator, owner or creator of a computer service, network or website that determines how the network, system or service should be used. Acceptable use policy commonly known as UAP are mainly prepared for businesses,schools,corporations,universities ,website owners and internet service providers to avoid instances of users taking legal actions (Huckabee, Gregory & Cherry Kolb, 2014).

Purpose of AUP

AUP is very essential for any institution and normally new members of any organization are expected to understand the acceptable usage policy and probably sign it before being granted access to the information systems. A proper AUP should thus be well understandable and wholly cover every aspect on what is expected of the users and what is not accepted of them.

The most crucial section of an AUP is the code of conduct. It outlines how the behavior of the user should be while connected to the network. It may give some description on the expected etiquette, appropriate language to be used, illegal activities to avoid, actions assumed to be disturbance on the system and privacy rules to observe (Pignataro, Carlos & Melinda Shore, 2014).

Consequences for violation of AUP

AUP statement should clearly show the consequences in case one violates the use of the policy which should be dependent on the relationship between the organization and the user. As for schools universities and schools they would commonly involve appropriate authorities in case of illegal activities by the user or completely bar the services from the violator. For employers, they could terminate the employment in cases of serious violation especially where security is at risk or sometimes withdraw the services from the employee. Some consequences to violation could be: bring legal action to enjoin violations, issue warnings (written or verbal), bill the member’s newsgroup privileges, bill the member for administrative costs, suspend the members account or even terminate the members account.

Unacceptable conduct

Another fundamental section is the part outlining the network unacceptable use like indecent images and documents transmission, creating and transmitting material to cause inconvenience, anxiety or annoyance, use of offensive or obscene material, material which can cause defamation, transmitting unsolicited commercial and advertising material, unauthorized access to the network and any infringes on the copyright of another person. In order for organizations to absolve from responsibility from certain circumstances like errors or omissions or use of information on the website that may bring consequences, it is wise to add disclaimers.

Specifically, an AUP is meant to remind a company, employees or students that it is only a gain to use a website or internet connection and not a right. This keeps them aware that any abuse of the system is illegal and appropriate action can be taken in case of violation.

It is widely accepted that there are several other areas that need to be looked into: compliance with Fair Use Laws and other copyright rules, a declaration that the AUP is in conformity with state and national telecommunication regulations and a proclamation regarding individual safety and confidentiality.

In conclusion, acceptable use entails the integrity of the physical facilities and all pertinent agreements and most importantly respecting the rights and being fair to other system or computer users.
